Your Front Desk Handles Check-In.
AI Handles the Phones.
Dental front desks are stretched thin. New patient calls, recall campaigns, insurance questions, appointment reminders — all while walk-ins wait at the counter. AI answers every call, every time, so your team focuses on the patients in the chair.
Your front desk is already at capacity.
Dental front desk staff manage check-in, insurance verification, payment, and scheduling — simultaneously. The phone is the lowest-priority thing in the room. That costs you.
-
Peak hours are when calls go unanswered
When two hygienists are checking out patients and the schedule is full, that ringing phone gets ignored. The person calling was likely a new patient. They called your competitor next.
-
No-shows drain the schedule
A single unused hygienist hour costs $120–$200. Automated reminder calls and texts sent at booking and before the appointment keep patients showing up.
-
200+ recall patients sitting untouched
Most practices have hundreds of patients who are 6–18 months overdue for a cleaning. Staff don't have time to call them. AI does — systematically, every week, without burning your team out.
-
After-hours urgent calls with no coverage
A patient with a cracked crown calls at 7pm Friday. Your office is closed. They find someone else. AI handles after-hours intake, triages urgency, and routes appropriately — so you capture the appointment Monday morning.
Built for the dental phone workflow.
Every call type a dental front desk handles — AI can handle first. Here's how a typical new patient call flows.
Built for how dental offices actually operate.
Not a generic phone bot. Every capability below was built for the dental front desk workflow.
Collects full new patient data — demographics, insurance carrier and member ID, reason for visit, preferred dentist, and referral source — before anyone on your staff picks up the phone.
Integrates with Dentrix, Eaglesoft, Open Dental, and other major practice management systems. Books appointments or adds to wait list without human intervention.
Calls patients who are 6, 12, or 18 months overdue for hygiene visits. Scripts sound like your team — warm, professional, not robotic. Most recall patients book within 2 contacts.
AI handles basic insurance questions ("Do you take Delta Dental?") and routes complex verification to your billing team — with full caller notes logged before transfer.
Patients with dental emergencies — broken tooth, lost crown, severe pain — are identified after hours, collected, and routed to your on-call contact or queued for first-call Monday.
Two-day and day-before reminders go out automatically by call and text. Patients can confirm, cancel, or reschedule directly — without calling your front desk at all.
HIPAA-aware by design.
"No protected health information is stored in our system. Patient intake data is collected during the call and routed directly to your practice management system in real time. We hold nothing. Transcripts are purged on a configurable schedule. Your BAA is signed before go-live."
We are not a covered entity under HIPAA — we are a business associate. All implementations include a Business Associate Agreement and configurable data retention windows. No PHI at rest in our systems.
200 overdue patients. Zero staff hours required.
The average dental practice has 200 or more patients who are overdue for a hygiene visit. They're not coming back on their own. AI calls them systematically.
What AI recall looks like in practice
AI calls the patient: "Hi, this is calling from [Practice Name]. We noticed it's been a while since your last visit — we'd love to get you back in for your cleaning. Do you have a few minutes to schedule?"
Most patients book within 2 contacts. The ones who don't are flagged for a personal staff follow-up. No list management. No dialing. No scripting.
- Prioritizes patients most overdue first
- Respects do-not-call preferences automatically
- Routes confirmed bookings directly to schedule
- Sends text confirmation immediately after call
- Reports weekly: calls made, voicemails left, bookings confirmed

Common questions from dental practices.
Does this actually work with our practice management software?
Yes. We integrate with Dentrix, Eaglesoft, Open Dental, Curve Dental, Carestream, and other major platforms via API. Setup typically takes 1–2 business days. Your PMS does not need to change.
What happens if the AI can't answer a question?
Any call the AI cannot handle confidently is transferred live to your front desk — with a full caller summary passed before the transfer. The patient never knows they were talking to AI unless you want them to.
How does HIPAA compliance work?
We are a business associate under HIPAA. We sign a BAA before go-live. Intake data is passed to your PMS in real time and not retained in our system. No PHI is stored at rest. Call transcripts are purged on a configurable rolling schedule. Encryption in transit is standard on all communications.
Can the AI handle our specialty calls — ortho consults, implant inquiries?
Yes. The AI is trained on your specific call types and services. For specialty practices, we build custom intake flows that match your consult process — including pre-consultation questionnaires delivered by text after the call.
What does the recall calling sound like? Will patients know it's AI?
The recall calls are warm, professional, and conversational — not a robotic announcement. Many practices choose to disclose ("This is an automated message from...") and patients respond just as well. Disclosure is configurable. The booking rate is the same either way.
How quickly can we go live?
Most dental practices are live within 5–7 business days of signing. We handle PMS integration, call routing setup, voice configuration, and script approval. Your front desk gets a dashboard to monitor calls and review transcripts from day one.
Tell us about your practice.
We'll follow up within one business day with a custom demo built around your call types and schedule.
Practice Inquiry
No commitment required. We'll show you exactly how AI would handle your specific call types before you decide anything.
Every unanswered call is a lost patient.
AI front desk pays for itself with a single recovered new patient per month. Let's show you the math for your practice.
